What we collect and why
The legal basis column shows which ground in Article 6 of the EU General Data Protection Regulation (GDPR) we rely on.
| When | What we collect | Why | Legal basis |

| You become a client | Contact details, time zone, lesson schedule, learning plan, class-by-class assessment notes, homework preferences and progress reports | To plan and deliver your lessons and track your progress | Contract |
| During online lessons | Zoom session data and a transcript of each class | To track your assessment and plan your next class. The transcript is used for nothing else and is deleted within 24 hours of your next class being prepared. | Contract |
| You book Interview Ready | Your resume or CV, the job posting, company and job title, interview type and date, and a recording of the practice interview | To prepare and run your practice interview, and give you the recording to watch | Contract |
| You pay | Payment confirmation, amount and date. Card payments are handled by Stripe, so we never see your full card number. MB WAY payments and bank transfers come directly to us. | To take payment and issue receipts | Contract |
| We issue your receipt (recibo verde) | Name, tax number (NIF) if you give it, address, amount | Required by Portuguese tax law | Legal obligation |
| You claim the protocol rate | Your former ASL enrollment or partner organization, and the proof you show | To apply the discounted rate | Contract |
| You ask for the free STAR Method Playbook | Your email address (and name, if you give it) | To send you the playbook. We won't add you to a mailing list unless you agree. | Consent |
| An organization sends an inquiry | Contact name, company, work email, team size, your message | To reply and prepare a proposal | Legitimate interest |
| You apply to work with us | Name, email, country and time zone, experience, qualifications, resume or CV, LinkedIn or website, your note | To consider you for current and future openings | Consent (you can withdraw it at any time) |
| You email us | Your message and contact details | To answer you | Legitimate interest |
| You visit the website | Technical data our host, Cloudflare, needs to deliver and protect the site, such as your IP address and browser type. | To keep the site running and secure | Legitimate interest |
We don't sell your data, and we don't use it for advertising.
AI tools. We use AI software to help analyze lesson transcripts, prepare progress reports and draft emails. We use Claude, made by Anthropic. A person (Brook) reviews everything before it is used, and no decision about you is made automatically.
Who we share it with
We use a small number of service providers to run the business. They process your data only on our instructions.
| Provider | What it does for us |
|---|---|
| Google (Google Workspace) | Email, calendar and booking pages, Google Meet for free calls and their transcripts, document storage, and website form submissions |
| Zoom | Online lessons, recordings and transcripts |
| Notion | Student records, assessment notes and learning plans |
| Stripe | Card payments |
| Wise | Bank transfers |
| Anthropic (Claude) | AI help with transcript analysis, progress reports and drafts |
| Cloudflare | Hosting the website |
We also share data when the law requires it, for example with the Portuguese Tax Authority (Autoridade Tributária) through the recibos verdes system.
If you claim the protocol rate through a partner organization, we don't contact that organization about you.
International transfers
Several of our providers are based in the United States, so your data may be processed outside the European Economic Area. When that happens, we rely on one of the safeguards the GDPR allows:
- the provider's certification under the EU-U.S. Data Privacy Framework, where it has one, or
- the European Commission's Standard Contractual Clauses in our agreement with the provider.
You can ask us for more detail on the safeguard used for any provider.
How long we keep it
We keep your data only as long as we need it, then delete it.
| Data | How long |
|---|---|
| Lesson transcripts | Deleted within 24 hours of your next class being prepared. They are used only to track your assessment and plan your course. |
| Interview Ready recordings | 30 days after the practice session |
| Booking details and free-call transcripts, if you don't become a client | 12 months after the call |
| Our copy of your vocabulary and grammar materials | At the end of your course you receive a download of your materials. That is your lifelong copy, so please save it somewhere safe. We keep our own copy while you're an active student, to plan your lessons, and delete it within 3 years after you become inactive. |
| Receipts, invoices and payment records | As long as Portuguese tax and accounting law requires (currently 10 years) |
| STAR Method Playbook requests | 12 months, unless you become a client or agree to hear from us |
| Organization inquiries | 2 years after our last contact |
| Job applications and resumes or CVs | Up to 24 months, or sooner if you withdraw your consent |
| Emails | 2 years after the conversation ends, unless they belong to one of the records above |
Your rights
You can ask us at any time to:
- see the data we hold about you and get a copy
- correct anything that's wrong or out of date
- delete your data, unless the law requires us to keep it (for example, receipts)
- limit how we use it while a question is being resolved
- receive your data in a format you can take elsewhere
- object to uses based on our legitimate interest
- withdraw your consent where we rely on it (for example, a job application). This doesn't affect anything done before you withdraw.
Email hello@launchinenglish.com. We'll reply within one month and may ask you to confirm your identity first. There's no charge.
If you're unhappy with how we've handled your data, please tell us first. You also have the right to complain to Portugal's data protection authority, the Comissão Nacional de Proteção de Dados (cnpd.pt), or to the authority in your own EU country.
Cookies
Our fonts and images are served from our own site, not from third parties. Our host, Cloudflare, may set a strictly necessary security cookie to protect the site from abuse; it doesn't track you across other sites.
Security
We protect your data with password-protected accounts, two-step verification, and providers that encrypt data. Access to client records is limited to the people who teach you.
Age
Our courses and coaching are for adults. We don't knowingly collect data from anyone under 18.
Changes to this policy
If we change this policy, we'll update the date at the top. For significant changes, we'll also let current clients know by email.
Questions about your data
Write to Brook directly.
Ask to see, correct or delete your data, or just ask a question. You'll get a personal reply within one month.
